  1. Mail Preparation
  1. A permit number specially assigned for this service shall appear on the top right-hand corner of the envelope. The new designs of the impression (40mm wide by 20mm high) are as follows:
    1. First class:
      First class

    2. Economy class:
      Economy class

  2. All-in-one address labels including sender’s and addressee’s addresses, item barcode, permit number impression, customs declaration form (CN22/CN23) and air mail impression shall be printed through the iMailR Online Mailing Tool and affixed onto the front cover of each item. Please use laser printer to print the address labels to ensure readability of the barcode.

  1. Segregation
  1. Sort items by classes of service (First Class/ Economy Class) and destination, and put them into separate mail bags. If the quantities of items for certain destinations are not adequate to make up a separate bag, they should be bundled up and put into residual bag(s).
  2. Complete and print "Posting Statement of iMailR Service" (Pos 487R) in quadruplicate and "Certificate of Posting for iMailR Service" (Pos 20 (iMail)) in triplicates by using iMailR Online Mailing Tool. Present them to our counter staff upon posting. Please use laser printer to print the posting forms in order to facilitate readability of the barcode.
  3. A bag label should be attached to each mail bag. Information including number of items, weight of each bag, destination, bag number, date of posting, class of service (First Class/Economy Class) and permit number should be marked on the bag label.
  4. Please note that:
    • Using address labels NOT generated online may extend the posting time and processing time required in case of compensation.
    • No item shall bear a return address located outside Hong Kong
    • No single item shall exceed 2kg.
    • All items are subject to the regulations set out in the Post Office Guide.
  1. Counter acceptance

Present mail with

  • "Posting Statement of iMailR Service" (Pos 487R) in quadruplicate
  • "Certificate for Posting of iMailR Service" (Pos 20 (iMail)) in triplicate
  • Permit license
  • Pay by cash, EPS, cheque (for company account only), deposit account or online credit card
  1. After posting
  1. A final confirmation of actual posting will be uploaded to the Online Mailing Tool in 3 working days after the date of posting to facilitate for easy reference. Senders are advised to download and keep it for record purpose.
  2. Posting details will subject to HKP's actual scanning of mail items. In case the paid charges fall short of the confirmed charges, the sender shall make up the difference immediately. In case the paid charges are in excess of the confirmed charges, the sender shall complete and submit an "iMailR Service Refund Application" form to the Financial Services Division of HKP for refund.
